The short answer

Assigning people to projects in Vacly Solutions SL means putting someone on a programme or a site and seeing the load. It avoids the parallel spreadsheet of “who is on which job”. Hours are not clocked here: they come from [Time](/producto/tiempo) when you allocate a working day. It is not a Gantt chart and it is not the official working-time record.

Anyone searching for “assign people projects load” usually has a spreadsheet only the site lead understands and a Monday when two jobs ask for the same person. The work is to see the fit and the load earlier, not to argue about the overlap on Friday.

The record lives in [assignments](/producto/proyectos/asignaciones): assignment by person, periods, visible load and fit with shifts. The programme is opened in [programmes](/producto/proyectos/programas). The [Projects module](/producto/proyectos) is €19/month · VAT incl. 15-day trial. The reports (Summary, Status, Assignments, Hours by project, Progress, Profitability, Future load, Alerts) are indicative: there are no extra records.

What does it mean to assign people to a project and see the load?

It means saying who works on each programme or project and for which period. The load is visible. It is not a bar chart and not an hours sheet for labour inspection.

  • Assignment by person: each placement is someone on a project. Without a person, the load has no name. That lives in [assignments](/producto/proyectos/asignaciones).
  • Periods: from when to when they are on that job. A loose name in a spreadsheet does not say whether they are still there next month.
  • Visible load: you see whether that person is already full or whether the project is asking someone who has no more to give. It is a working snapshot, not a certificate.
  • Fit with shifts: the assignment is read next to [Time shifts](/producto/tiempo). It does not build the rota; it stops you promising someone who already has a shift elsewhere.
  • The [programme](/producto/proyectos/programas) groups the work. Assignment puts the people on it. They are different screens in the same [module](/producto/proyectos).

How do you assign (and where do the hours come from)?

Assignments does not invent the headcount or the clock. It links the person to the project. Hours arrive when you allocate a working day in Time.

  • You pick the person and the project. Opening the programme or the job is in [programmes](/producto/proyectos/programas). Without a programme record, there is nowhere to assign.
  • You mark the period. That is how you see if two jobs want the same stretch. The “they are on site 12” spreadsheet has no dates and lies on the 3rd.
  • Load updates with what is assigned. [Future load](/producto/proyectos) is an indicative report, not a shift booking that has already been made.
  • Hours in the “Hours by project” report hang from [Time](/producto/tiempo) when you allocate a working day. Assigning is not clocking in.
  • Checking the overlap is still yours. An alert does not move the person and it does not email the client.

What does “visible load” mean (and why is it not the spreadsheet)?

Some software sells load as if it were a Gantt chart. This screen does not. The caveat is the product: you see the fit, you do not draw the site.

Visible load

It is there to see whether the person or the project is tight. It is a management aid. It is not a Gantt diagram and not an official timesheet.

Fit with shifts

It is read against the Time rota. Assignment does not publish shifts and it does not replace clock-in. It avoids the double booking.

Out of the site spreadsheet

The list of “who is on which job” stops living in a sheet only one person opens. You still need someone who decides; the tool shows the fit.

What is this screen not (and what should it not sell you)?

Assignments is not the clock, the Gantt chart, the ERP or the tax office.

  • It is not a Gantt chart. There are no site-planning bars. There are people, periods and load.
  • It is not the official working-time record. That, if you use it, is in [Time](/producto/tiempo). Nothing here is homologated for labour inspection.
  • It is not an ERP. It does not run purchasing or stock. It assigns people to projects.
  • It does not replace [programmes](/producto/proyectos/programas). The programme groups the work; here you put the people on it.
  • It does not send email, post journals or file forms. A load alert warns; it does not run filings.

FAQ

Does this replace the spreadsheet of who is on which site?

That is the job: assignment by person, periods and visible load. It stops living in a parallel sheet. You still need someone who decides the fit.

Are hours allocated in Assignments?

No. Hours come from Time when you allocate a working day. Putting someone on a project is not clocking in and not closing a timesheet.

Does it fit with shifts?

Yes, it is read against Time shifts. Assignment does not publish the rota and it does not replace clock-in.

Is Vacly Assignments a Gantt chart?

No. There are no site-planning bars. There are people on a project, periods and visible load.

Do the load reports stand up to labour inspection?

No. Summary, Status, Assignments, Hours by project, Progress, Profitability, Future load and Alerts are indicative. They are not an official timesheet and they do not homologate the software.

What does it cost and how do we try it?

The Projects module is €19/month · VAT incl. The trial is 15 days. It is offered by Vacly Solutions SL.
