Payroll software for SMEs and payroll firms must calculate the month’s payslip with variables, overtime, temporary disability (IT) and benefits in kind, and leave the SEPA file, the Social Security RED file and forms 111 and 190 ready. A pretty PDF is not enough: you need to close the month and prepare what you pay and what you declare.

What is payroll software for SMEs and payroll firms?

It is the system that closes the labour month: it calculates the payslip, keeps a trail of variables and prepares the payment and Social Security files. It is not a Word file with basic salary, or a spreadsheet only one person understands.

  • For the SME: one place to generate the month’s payroll, with each person’s variables, without rebuilding the slip on Friday.
  • For the payroll firm: the same logic across clients, not a different folder and a different procedure per company.
  • It must calculate, not just lay out. A polished PDF without variables, sick leave or benefits in kind is not payroll software.
  • It must prepare what you send: SEPA to pay, the RED file for Social Security, forms 111 and 190 for withholdings.
  • It does not “certify” you before Labour Inspection or the TGSS. That badge does not exist. It leaves you the calculation and the files; the TGSS filing is done by you or your RED-authorised party.

What must the month’s payroll calculate?

The month is not last month’s basic salary again. Searches for “payroll software SMEs Spain” usually fail here: variables typed late, sick leave by hand, benefits in kind forgotten.

  • Monthly variables per employee: what changed this month, not what was copied from the last one.
  • Overtime: it belongs in the calculation, not in a note in the margin.
  • Temporary disability (IT): the bracket and any top-up must show on the payslip, not on a parallel sheet.
  • Benefits in kind: if they exist, they are calculated. If they are not in the system, they are not on the slip.
  • Guided assistant and table view: to review the month person by person or in bulk, not to guess what was applied.

What do you sign and what do you send (SEPA, RED, 111 and 190)?

Calculating does not close the month. Payroll software for firms (and for the SME that pays itself) must leave the files ready. Preparing is not filing.

Forms 111 and 190

Form 111 (withholdings) and form 190 (annual IRPF summary) come from the same calculation. The software leaves them ready; they are not a side spreadsheet of withholdings.

How does an SME differ from a payroll firm?

The calculation is the same. What changes is who runs it and for how many companies.

  • The SME wants to close its own headcount: generate the month, review variables, pay via SEPA and stop chasing a PDF by email.
  • The payroll firm wants the same standard across the book: not a procedure per client or a “bespoke” RED file in each folder.
  • Both need a trail: what was calculated, with which variables, and which files came out. A slip with no origin cannot be defended.
  • The employee portal, bulk PDF send and contracts live in the same Laboral module. They do not replace generating payroll.

What does this software not do (and should not sell you)?

Honest payroll software states its perimeter. The rest is another screen or, sometimes, another profession.

  • It does not file the registration, the leaving or the RED file with the TGSS for you. It prepares the file; the send is done by whoever holds the RED authorisation.
  • It does not replace your labour adviser’s judgement. It calculates and leaves a trail.
