Pre-accounting: the journal entry comes from the invoice, you review it

A read invoice proposes the journal entry. You review accounts, debit and credit, and validate. Nothing posts on its own. It does not replace the advisor.

The short answer

Pre-accounting in Vacly Accounting takes the invoice already read and proposes the journal entry. You review the accounts, debit and credit, and validate. Until a person validates, do not treat it as posted. It does not replace the advisor and it does not file anything with the AEAT.

Anyone searching for “pre-accounting journal entries from invoices” usually has the PDF on one side and the journal on the other. The work is not retyping the tax ID. It is reviewing the proposal and deciding whether that line enters the period.

Accounting pricing is on request, according to the modules you contract. 15-day trial. How the document is uploaded and approved is in [digitizing invoices toward pre-accounting and VAT](/blog/digitalizar-facturas-precontabilidad-iva). Here we talk about the proposed journal entry, not the inbox walkthrough.

What does it mean to propose the journal entry from the invoice (and why does it not post on its own)?

It is a working proposal. The document already read suggests accounts and amounts. You sign off the line.

  • The invoice lives in [Invoicing](/producto/facturacion). Pre-accounting is not the inbox: it does not digitize the PDF again.
  • The [journal-entry proposal](/producto/contabilidad/precontabilidad) hangs from that already-read data: accounts, debit and credit.
  • You review and validate. Correcting an account is part of the work. Validating is not an official seal.
  • Nothing posts on its own. An unvalidated proposal does not feed the [P&L](/producto/contabilidad/balance-pyg) or the [balance sheet](/producto/contabilidad/balance).
  • It does not replace the advisor. Vacly does not homologate the software and does not file with the AEAT.

Where does the proposal come from, and what do you review?

If you mix inbox, journal entry and VAT, you cannot tell what failed: the document, the account or the period.

  • The document is uploaded and read in Invoicing. The batch upload and approval steps are in the [invoice digitization guide](/blog/digitalizar-facturas-precontabilidad-iva).
  • Pre-accounting generates the proposal when there is a read invoice. You see accounts, debit and credit. If it does not fit, you correct it before validating.
  • The [chart of accounts](/producto/contabilidad/plan-contable) is the base for those accounts, per company or per accountancy-firm client.
  • After you validate, the line moves to [journal entries](/producto/contabilidad/asientos). The queue, the correction and the history live there.
  • The period VAT summary is in [Tax](/producto/fiscal). [Bank reconciliation](/producto/bancos/bancos-conciliacion) is in Banking. Neither posts for you.

What does “proposal, not a closed journal entry” mean?

Some software sells the journal entry as if it were already in the book. This screen does not. The caveat is the product.

Proposal

The read invoice suggests the journal entry. It saves retyping. It is not a closed journal.

You review

Accounts, debit and credit. If that account is wrong, you change it. Validating is a decision, not an automation.

It does not replace the advisor

The advisor signs the close. Vacly does not homologate and does not file the form.

What is this screen not (and what should it not sell you)?

Pre-accounting is not the inbox, the VAT, the bank or a seal.

  • It is not the [Invoicing](/producto/facturacion) inbox. The document lives there; here the journal entry is proposed.
  • It is not the [VAT summary](/blog/resumen-iva-impuestos-periodo). That lives in Tax.
  • It is not [bank reconciliation](/blog/conciliacion-bancaria-sugerencias). Matching a movement to an invoice does not post the journal entry.
  • It does not close the period. [Closing and locking](/blog/cierre-contable-periodo-bloqueo) is another screen, once the period has been reviewed.
  • It does not export to your accounting program. [Export](/blog/exportar-asientos-programa-contable) is a file, not a live push to a3, Holded or Sage.

FAQ

Does Vacly post automatically from the invoice?

No. It proposes the journal entry. You review accounts, debit and credit, and validate. Nothing posts on its own.

Where is the invoice uploaded?

In Invoicing. Pre-accounting reads that data. The digitization guide is another article; this page is the journal-entry proposal.

Does this replace the advisor?

No. A person reviews and validates. The advisor signs the close.

Does the proposal already feed the P&L?

No. P&L and the balance sheet count validated journal entries. An open proposal does not close the period.

Does this file with the AEAT or homologate the software?

No. Vacly does not file with the AEAT and does not homologate.

What does it cost and how do we try it?

Pricing is on request, according to the modules you contract. The trial is 15 days.

How Vacly Accounting handles this

[Vacly pre-accounting](/producto/contabilidad/precontabilidad) proposes the journal entry from the invoice already read. You review and validate. It is part of the [Accounting module](/producto/contabilidad), together with [journal entries](/producto/contabilidad/asientos), [chart of accounts](/producto/contabilidad/plan-contable), [P&L](/producto/contabilidad/balance-pyg), [balance sheet](/producto/contabilidad/balance), [closings](/producto/contabilidad/cierres) and [export](/producto/contabilidad/exportacion-contable). Pricing on request, according to contracted modules. It is not Invoicing, Tax or Banking. 15-day trial.
